Al Jazi Village 2 - Letter to Management
Date: 28 September 2026
To: The Management, Al Jazi Village 2
From: The Undersigned Tenants of Al Jazi Village 2
Subject: Request for Urgent Meeting to Discuss Community Facilities, Access and Overall Governance
Dear Al Jazi Village 2 Management,
We, the undersigned tenants of Al Jazi Village 2, are writing to formally raise several concerns regarding the management, accessibility, and governance of our community's shared facilities and services.
We ask that the points below be reviewed and addressed, and we have proposed practical solutions under each item to support a constructive resolution. Given its urgency, we have placed the matter of the community's residential classification first.
1. Family Residential Community Status
Issue
This community is designated and intended to be a family residential community only. This is further confirmed in writing under clause 3.1 of the lease agreements that clearly stipulate that “the premises is a residential unit for the family accommodation only (not bachelors), it shall not be used for any other purpose”. We understand that Villa 60, Villa 61, Villa 98 and additional villas are not being used in line with the above with several male tenants occupying these units. These units are clearly rented to corporate entities with single male tenants (not families), which is a clear breach of the community's residential classification and, in our understanding, is not compliant with local regulations.
Suggested solution
• Management to investigate the use of Villa 60, Villa 61, Villa 98 and other villas immediately
• Any non-residential or non-compliant use to be corrected without delay, given the legal and community safety implications
• Management to confirm to tenants, in writing, the outcome of this investigation and the corrective action taken immediately. This is critical given most of us have young kids and rented in Al Jazi Village due to its family-oriented and safe environment
2. Modernize the Booking System
Issue
The current booking process for facilities is outdated and does not adequately support the needs detailed in this letter, namely the guest visits, villa tracking, SFQ scheduling, birthday bookings, etc.
Suggested solution
• Implement a single digital booking platform (app or web portal) covering all facilities, guest and event bookings, which would allow more flexibility and better management and overall coordination
• Ensure the platform captures villa number, number of guests, date/time, and facility, with visibility for management and tenants alike
• In the event an application is not feasible, propose a viable alternative catering for tenants’ needs
3. SFQ Use of Facilities Limiting Tenant Access
Issue
SFQ's use of shared facilities is taking up space and time that tenants are unable to access, limiting tenants' own use of the amenities they pay for within their rental agreement. The latest issue is the football pitch being used on Saturdays and Thursdays from 5:00 to 7:00 for SFQ classes. These are peak hours for tenant use of these facilities
Suggested solution
• Publish clear, fixed timings for when SFQ may use the facilities, separate from tenant hours
• Reserve guaranteed daily/weekly time blocks exclusively for tenant use that SFQ cannot book over. These times shall be arranged in coordination with tenants and not in isolation by management
• Share the finalized SFQ schedule with all tenants and post it visibly at each facility
• If SFQ is using the facilities, then kids of tenants should have free access to these classes
• Everyone who resides in the house — including family members and domestic workers — should be able to access community services, which is not currently the case.
4. Access to Facilities for Tenants and Guests
Issue
Access for tenants and their guests to all facilities is currently not allowed (poorly managed). A detailed email has already been addressed to management with no answer to date. Most tenants have kids and have selected Al Jazi Village 2 to be able to benefit from these facilities and be able from time to time to receive few guests who would play with our kids. Preventing us from having guests at all times is simply unrealistic and cannot be accepted.
Suggested solution
• Introduce a booking system which would also include registration of guests, requiring the villa number and the number of guests (capped at a reasonable number of people per booking)
• Require guests to be always accompanied by the resident tenant while using the facility • Ensure all community facilities, including the Gymnastics Room, are genuinely accessible to tenants and not periodically closed off or restricted without notice
• Route birthday party bookings through the same booking platform as other facility bookings, rather than a separate or informal process
• Everyone who resides in the house — including family members and domestic workers — should be able to access community services, which is not currently the case.
5. Tenant Handbook
Issue
There is no consolidated, formally agreed set of policies governing tenant conduct, facility use, and community rules. This lack of documentation resulted in tenants receiving random circulars, such as the one recently asking us not to keep shoes and bikes outside our units (even if these items are displayed in an orderly manner within our rented facilities).
Suggested solution
• Produce a formal Tenant Handbook consolidating all policies (facility access, bookings, guests, conduct, upgrades, etc.), which the tenant agrees to when signing or renewing the lease • Using the Handbook would set everyone’s expectations and would allow all parties to have a clear understanding of the mutually agreed upon rules and regulations • For the case of the shoes and bikes outside units, the handbook would provide simple guidance (e.g., use of a rack or designated area by the door) to keep this consistent across the community.
6. Inconsistent Process for Villa Upgrades
Issue
Villa upgrades are randomly enforced with priority given to vacant units instead of prioritizing current tenants. Even worse, some tenants received written confirmation of an upcoming upgrade and made the necessary arrangements to be outside of the country during the targeted period, only to receive a cancellation few days before the start of the works without prior notice.
Suggested solution
• Publish a firm upgrade schedule once communicated to tenants, and honor the committed dates • Where a change to the schedule is genuinely unavoidable, notify affected tenants in advance with the reason and the revised date
• Prioritize current tenants rather than empty/unoccupied units
7. Unpredictable Timing of Park and Pitch Upgrades
Issue
The timing of upgrades to the park and pitch areas is random and unpredictable, making it difficult for tenants to plan around closures. More importantly, often timings are imposed during peak use periods preventing our kids from using the facilities during these targeted periods.
Suggested solution
• Set and publish a defined maintenance/upgrade calendar for the park and pitch areas • Notify tenants in advance of any planned closure or works, with expected start and end dates
• Provide flexibility if a large portion of tenants express concerns (was always declined in the past)
8. Regular Tenant Meetings
Issue
Only way to reach the parties concerned is to send an e-mail, which is often not even responded to (last example to date is the detailed e-mail sent to management for the guests access to facilities). Despite the size and reputable quality of Al Jazi Village 2, there is currently no regular forum for tenants to raise concerns directly with management and find constructive solutions.
Suggested solution
• Establish a recurring tenant meeting (e.g., quarterly) with management to discuss ongoing issues and community updates with all relevant parties
• Publish minutes and action items after each meeting so tenants can track progress and discuss the next steps in the following meeting
Given the importance and high number of concerns raised in this letter by the undersigned tenants, we urge management to confirm the date of a meeting to further discuss these pressing matters.
Many of us have reached a point of frustration that might lead us to move out of the compound, which is clearly not our preferred solution.
This is exactly why we have decided to raise these matters in writing and to ask for a meeting to discuss the details of these issues and find constructive solutions that benefit all parties.
Looking forward to hearing from you at your earliest convenience with a suggested meeting date to discuss corrective actions and related timelines.
Sincerely,
The Tenants of Al Jazi Village 2
