Woodlands Owners Reclaiming Our Community
WE THE OWNERS OF THE WOODLANDS COMMUNITY ASSOCIATION have collectively agreed to band together in an effort to reclaim our community through exercising our rights as members of the association. We are requesting full disclosure of all material decision-making information with regard to the proposed Special Assessment, partially identified and voted on during the closed session portion of the Special Meeting held on 10/24/2007. As mentioned at that meeting, most owners were unaware of such meeting until the day of same. Notice of this meeting was posted on our mailboxes some time during the prior day. The undersigned agree that we have several unanswered questions and concerns regarding the cause and validity of the most recent proposed special assessment, as well as concerns regarding the accounting principles of the Association. Specifically: (1) we have not been provided with a detailed list of how the funds collected through this assessment will be applied; (2) we are not clear on how this assessment will directly affect the entire community both short and long term; and (3) we are unsure as to whether there could be any adjustment or omission in budgeted items in an attempt to minimize costs. Despite several requests by various owners, we have not been afforded the opportunity to access and review the Association\'s financial records of receipts and expenditures, in proper form (i.e., GAAP standards). The board\'s decision to vote on whether an assessment is in order and, if so, in what amount, was obviously rushed. We also feel uneasy that the bottom line amount of the proposed assessment could not be agreed on by the Board. Considering the foregoing, we hereby request that, until the above items of concern have been properly addressed, any increase in fees or special assessments due the association should be postponed. We also request that proper notice be provided to all owners, prior to the rescheduled Special Meeting. By this notice, we jointly request a date and time to go in to the office and obtain all of the above-mentioned documentation. We designate Bianca N. Shelton as recipient of this documentation, on our behalf. By obtaining this information, we believe that, not only will we have a better sense of how our funds are being appropriated, the board of the association will also have a better idea as to what exactly will be done and how much it will actually take. Please be guided accordingly. Thank you. ***Due to an overwhelming response of Members expressing discontentment with property management, as of end of Open Meeting of November 8th, a formal request for an official vote of Owners who request a change in property management was made of the Board. Another member formally requested that voting on this matter take place by secure ballot at the Woodlands Clubhouse on a set date, with tallying of votes to be conducted on same date in the presence of unit owners. We await excecution of all requested action.***
