Subject:2005 Commencement Recommendations

Members of the 2005 School of Social Work Graduating Class respectfully request that the following alternative recommendations with regard to commencement be considered:

VENUE
The recent request of the university fire marshal that commencement exercises at the Lyon Center be a ticketed event thereby limiting the number of guests able to attend, the increasing size of this and subsequent graduating classes, the general dissatisfaction of past, present and current students regarding the unceremonious ambiance of the Lyon Center, and the University’s desire that Satellite Ceremonies be held on-campus are among the most notable reasons why an alternate commencement venue be considered.

Specifically, we request that McCARTHY QUAD be considered as the alternate commencement venue. It’s proximity to the School of Social Work and the venue’s ability to accommodate a significantly greater number of guests without the need to ticket the event make it highly preferable.

TIME
McCarthy Quad is available on Friday May 13th, 2005 at 2:30 pm following the Annenberg School of Communication Satellite Ceremony. Holding the School of Social Work Satellite Ceremony at this time would allow for family and friends to enjoy a welcome reception between the main ceremony, ending at 10:00 am, and the School of Social Work Satellite Ceremony at 2:30 pm.

DIVISION OF RENTAL COSTS
An added benefit of the School of Social Work Satellite Ceremony being held in McCarthy
Quad at 2:30 pm is the probability that rental costs of tents, chairs, and possibly audio/visual equipment can be shared with the Annenberg School of Communication.

USE OF AVAILABLE TECHNOLOGY
In the event that our request to hold the School of Social Work Satellite Ceremony in McCarthy Quad is denied, we ask that those responsible will consider providing satellite video screenings of the event either in the Auxilary Gym of the Lyon Center, in the School of Social Work Courtyard, or other comparable locations.

FURTHER CONSIDERATIONS
*Lyon Center
Although we have utilized the Lyon Center for Social Work Satellite Ceremonies in the past, we are under NO contractual obligation to hold the event at this venue this year or any other, nor do we have a contract reserving the venue for future commencement ceremonies. This information has been confirmed by Arvin Varma.

While the Lyon Center is an air-conditioned venue, the system has proven unreliable in the past. Also, it must be stated that the benefit of having air conditioning does not outweigh the cost of being limited to five guests.

*Special Event Permit
Adequate time remains to submit an updated special event permit application. The application must be received at least 45 days prior to the proposed event date. Currently, there are 77 days prior to commencement. This application would secure permitting through the Departments of Fire Safety and Public Safety in conjunction with Career and Protective Services. This information has been confirmed by John Hagthrop.

*Facilities Management Services
Equipment rental requests must be received by March 1st, 2005. Therefore, if we wished to formally contract equipment with FMS, this must be done with great urgency. However, should the School of Social Work share the cost of equipment rentals with the Annenberg School of Communication, it would be possible to expedite such services. Barbara Sussoev (FMS) and Giovanna Carrera (Annenberg) have communicated their willingness to work with Hilary Chisum to create this possibility.

*Programs and Printed Materials
While it is unfortunate that printed information would list the Lyon Center as the Social Work Satellite Ceremony Venue, it would be a greater disappointment if we were unable to share our accomplishment with those who have contributed to our pursuit of higher education and social work.
